About the Role
Reporting to the Chief Operations Officer, the Operations Coordinator plays a key role in keeping Power to Give operating efficiently. This position supports core administrative and financial operations while coordinating logistics for team and client events. Through reliable processes and thoughtful execution, the Operations Coordinator reinforces Power to Give’s professional image and service culture.
Key Accountabilities
Operations & Finance
- Coordinate day-to-day financial operations including payables/receivables, expenses, grant disbursements, reconciliations, tax receipts, and month/year-end support.
- Prepare forecasts and support quarterly financial reporting and variance analysis.
- Maintain financial systems, documentation, and internal controls in coordination with external partners.
Office, Systems & Administration
- Serve as first point of contact for office inquiries and coordinate internal communications.
- Champion CRM and internal systems, supporting documentation, training, and data integrity.
- Maintain operational files, templates, and office resources.
Meetings, Travel & Events
- Coordinate logistics for team, leadership, and board meetings (virtual and in person), including materials and minutes.
- Manage calendars, scheduling, and travel arrangements for leadership and team.
- Support partner and client events including logistics, registration, and follow-up.
Board & Governance Support
- Prepare and distribute materials for Canadian and U.S. Boards and committees.
- Attend meetings, take minutes, track actions, and maintain governance records.
Qualifications and Skills
The successful candidate will be excited to work independently in our dynamic and fast-paced environment. They will bring curiosity and accountability to their role, along with pride in their organizational skills and attention to detail.
Education & Experience
- Graduate of a post-secondary program in Finance, Business or related field.
- 2+ years of relevant experience with financial and office coordination.
- Proficiency with CRM database maintenance, preference with Salesforce.
- Experience with using and interpreting basic financial analytics in financial software, preference with Quickbooks.
Skills & Competencies
- Ability to handle confidential information with tact and discretion.
- Superior time management skills with the ability to prioritize, multitask, work within time constraints, and follow-up.
- Strong attention to detail and organization is essential.
- Well-developed interpersonal and collaborative skills.
- A comprehensive understanding of standard corporate software.
Compensation

- Salary Range: $60,000-$75,000; determined by job-related skills and relevant education and experience.

Things you should know:
- The team is based in Victoria BC, and although we do meet in person once a month, when possible, it is not mandatory.
- This role requires occasional travel for meeting and events across Western Canada approximately 10 days per year
- This position is 40 hours/week, with flexible working hours. You may be required to work evenings and weekends to accommodate community engagements.
